Regulation

USE OF SCHOOL FACILITIES

The following is a list of rules and regulations pertaining to the use of Northfield School District facilities. All school rules, State and local fire, health, safety and police regulations and ordinances shall also apply.

  1. For all groups (outside organizations and NCS staff or faculty), all paperwork must be completed at least thirty (30) calendar days before the date the facilities are to be used.

 

B. Activities occurring during the school week may not begin prior to 3:30 p.m. and must end by 10:00 p.m.

C. A security deposit of $200 may be required at the discretion of the Superintendent or the Board of Education. All organizations are responsible for damages that they cause.

D. At the conclusion of each event the SACC and Facilities Use Coordinator or a custodian must inspect the facility. If satisfactory, the security deposit (if required) will be returned to the organization.

E. Fees will be billed through the School Business Administrator/Board Secretary’s office and are not to be paid directly to any employee of the Northfield School District.

F. The use of school light and sound or technological equipment will require a Northfield School District technician and a fee of $20 – $35 per hour.

G. Northfield community based organizations or residents are able to use the facilities at no cost. Outside organizations will be charged to use the facilities based on the rates in “H” below. Outside organizations are defined as organizations that are not Northfield based. Outside organization made up of Northfield residents (i.e. MUSA, Lacrosse) must have over 50% Northfield residents to avoid the Use of Facility charge and may be required to submit a list of participants and proof of residency. Rooms are as is and any set up or break down will require a custodial fee. An estimate of one hour for set up and two hours for break down.

H. Facilities and personnel charges are as follows:

1. Use of classrooms $90; per length of requested event (i.e. athletic season or weekend);

2. Use of Gymnasium $1,355; per length of requested event (i.e. athletic season or weekend);

3. Use of field $1,000; per length of requested event (i.e. athletic season or weekend);

4. Use of Cafetorium $364; per length of requested event (i.e. athletic season or weekend);

5. Custodian $10-20 per hour;

6. Food Service $10 per hour;

7. Light and Sound Tech $20 – $35 per hour;

8. A flat fee may be assessed at the discretion of the Superintendent or Board of Education for classroom use by a college or university with the approval of both the Superintendent and the Board of Education.

I. Alcoholic beverages and smoking are prohibited on school property. For purposes of this policy, “smoking” means inhaling the burning vapor of a lighted cigar, cigarette, pipe electronic smoking device or any other matter or substance which contains tobacco.

J. Facilities can not be used on Sundays for any purpose. However, special occasions that may warrant use on a Sunday must have the recommendation of the Superintendent and approval of the full Board.

K. All organizations are required to submit a Certificate of Insurance with this application to the district. A new certificate must be submitted each school year and must show coverage for that time period. For more information please read the back of the application form.

L. The organization or group is responsible for the supervision of the participants and will be required to pay for any damage that may be caused by its participants.

M. Abuse of the facilities and or personnel will result in the Board denying use of these facilities, loss of security deposit and additional fines as deemed necessary.

N. Any person, or organization, independently using the Northfield Community School District’s facilities through the Use of Facilities process and who is not sponsored through the District is responsible for completing a criminal background check for all of their volunteers who engage in regular ongoing positions with regular contact with students. The Use of Facilities applicant shall bear the cost of the background checks.
